The Data Management and Communications Specialist works closely with colleagues in Development, Finance, Marketing, and Education to manage Levine Museum’s development database, gift processing, and reporting.   S/he reports data critical to decision-making throughout the institution.


This position oversees the daily internal operations of the Development department, managing donor communications, workflow, monthly financial reconciliations, and data integrity of donor information, while adhering to departmental policies and procedures.


Essential Duties and Responsibilities:


  • General
  • Assists the Development team in creating annual and long-term goals with associated strategies to support fundraising efforts


  • Altru Database Management
  • Enters all gifts into database; ensures database is up-to-date and accurate
  • Works with Finance office to ensure that all IRS guidelines are met pertaining to the processing and receipting of donations
  • Implements best practices related to properly capturing donor information (biographical, geographical, and other information as appropriate)
  • Develops analytic and reporting tools necessary to maintain an informative prospect pipeline that relates directly to the goals and targets
  • Runs regular and customized reports through Altru


  • Membership & Annual Giving
    • Generates monthly membership renewals, pledge reminders, gift acknowledgements and giving statements
    • Manages annual giving solicitations by executing campaigns


  • Pledge Management
    • Oversees pledge fulfillment, managing the review process and producing pledge reminders for donors


  • Communications
  • Works with Marketing to develop regular Museum newsletter
  • Provides mailing lists for Museum mailings
  • Compiles annual donor listing


  • Development Events
  • Assists with donor cultivation and appreciation events
  • Assists with fundraising events, including the major annual event


Job Qualifications:

  • Bachelor’s Degree preferred, or equivalent combination of education and experience
  • 3-5 years of experience working in a Development office
  • Expert knowledge of development software; Blackbaud’s Altru system preferred
  • Knowledge in areas of financial controls, gift acceptance, accounting, and information systems/database management
  • Ability to juggle multiple objectives/projects simultaneously, with strong organizational skills, attention to detail and impeccable follow-up
  • Self-starter who takes initiative and anticipates needs; resourceful; creative problem-solver
  • Excellent communications skills – written, verbal, non-verbal/interpersonal
  • Ability to work collaboratively with staff and Board to support professional and effective donor communications
  • Ability to maintain confidentiality of donor information
  • Ability to maintain confidentiality as appropriate, particularly related to donor giving information



Additional Requirements:

  • Solid knowledge of MS Office products, including Word and Excel
  • Understanding of and appreciation for the mission of Levine Museum of the New South
  • Ability to relate well to individuals from diverse back grounds
  • Maintain and exhibit the highest standards of ethical conduct
