Job Title: Academy Business Manager

Section II – Job Purpose, Scope & Responsibilities

Job Purpose: Responsible for the maintenance and analysis of Academy Financials, and various platforms utilized for revenue intake, tuition, refunds, and other payables as needed. The Academy Business Manager will work closely with the Charlotte Ballet accounting team to ensure line items are in order and categorized correctly. The position will also be responsible for creating reports and suggesting solutions to maximize Academy financial performance.


Job Duties and Responsibilities:

Academy Financial (40%)

  • Maintain Academy P&L/GL and be the point of contact for Accounting
  • Provide update/analysis on PYE
  • Report monthly on budget vs. actual; noting trends, variances, discrepancies, and researching the “why” behind them
  • Align project codes and assign codes to new projects
  • Analyze Academy tuition revenue and participate in year-over-year strategy discussions
  • Execute the distribution of Scholarships/Financial aid to those students selected

Analytics/Metrics (20%)

  • Enrollment tracking by class/program- analyze current status and analyze year- over-year demand
  • Attendance trends- evaluate by class and by student to note participation rates
  • Tuition Payment- monitor monthly status for paid/unpaid, create notifications for declines/non-payments as well as reminders for upcoming payments due/pending
  • Ticketing- analyze ticket sales and trends for Academy shows, make recommendation on price structure, sales goals, and marketing needs
  • ASC/Grant reporting-

Academy Operations (20%)

  • Maintain and update database software for all Academy programming
  • Create and maintain D4A modules for Nutcracker, National Auditions, and other events as required
  • Prepare Ticketing and Box Office set up for performances

Customer-Facing (15%)

  • Serve as POC for tuition and scholarship
  • Create communications for Tuition and Scholarship processes and schedules; communicate to all relevant stakeholders

Administration (5%)

  • Participate in all management staff meetings
  • Create reports for both departmental and management staff meetings

External Contacts: Current Academy Families, ASC, Vendors

Education Level and Focus: Bachelors Degree in Arts, Business, Communication, Marketing or related fields or appropriate experience

Years and Type of Related Experience Required:

Required experience:

  • 3-5 years Budget management
  • 3-5 years of reporting analytics including the creation of reports
  • Demonstrated success in communicating across departments/disciplines and to Sr. Leadership
  • Strong Excel skillset; including the ability to create reports, manipulate data, analyze/illustrate trends,

Preferred experience:

  • Experience in the Performing Arts is preferred

Professional/Technical Competencies:

  • Superior Organization and Time Management
  • Ability to manage multiple projects at various stages of completion
  • Ability to explain metrics and trends to non-dancers
  • Advanced computer literacy; emphasis on Microsoft Excel
  • Willingness to support and back-up other department members as needed
