POSITION: STEWARDSHIP ASSOCIATE

DIRECT SUPERVISOR: Advancement Director

BASIC DESCRIPTION: Provides support and oversight of development database; guides reporting and analysis; promotes and supports training and effective database use among staff.

 

MAJOR RESPONSIBILITIES:  % Of Time Spent

  1. Donor relations & stewardship: 30%
  2. Database management/maintenance: 20%
  3. Database reporting and analysis: 20%
  4. Training and supervision: 20%
  5. Other duties as needed: 10%

 

POSITION CATEGORY: Part-time hourly / Non-exempt

HOURS: Flexible — Monday – Friday 9 am – 5 pm – 20-25 hours/week

 

I. STRATEGIC FOCUS

DONOR RELATIONS & STEWARDSHIP

  • Assists the Advancement Director with annual fund appeals, grants, corporate solicitations and events
  • Assists with donor communications and stewardship activities including producing donor acknowledgement letters and donor/volunteer appreciation events
  • Helps plan and organize donor recognition events

DATABASE MANAGEMENT/MAINTENANCE

  • Manage data entry, reporting, record management and gift acknowledgement processes, ensuring accuracy, consistency and timeliness
  • Claims corporate matching gifts and records soft credits to appropriate donors
  • Make appropriate and timely recommendations on database expansion and/or enhancements to ensure the most effective and efficient use of the system
  • Respond to donor inquiries concerning gift history, receipts, and other documentation

DATABASE REPORTING AND ANALYSIS

  • Provide regular and on demand reporting to development and finance departments
  • Collaborate with other staff members to analyze fundraising trends/results and provide related analysis and recommendations
  • Manage request and fulfillment process for data output related to direct mail, campaign strategy and other projects

TRAINING and SUPERVISION

  • Assess needs and promote training opportunities for all Customer Relationship Management system users
  • Recruit and supervise interns whose primary function is data entry and donor relations support
  • Supervise data entry volunteers

OTHER DUTIES AS NEEDED

  • Support other campaigns and projects
  • Participate in CRC-wide committees on a volunteer basis
  • Other duties as assigned

III. QUALIFICATIONS

REQUIRED:

  1. Experienced user of Microsoft Office products
  2. Previous CRM database experience
  3. Sensitivity to working with confidential information
  4. Good organization and time-management skills
  5. Good oral and written communication skills
  6. Self-motivated and able to work independently
  7. Professional manner
  8. Ability to work with others (team oriented)
  9. Understanding of mission and adherence to core values of CRC
  10. Ability to analyze data on a rudimentary level
  11. Superior problem solving skills (technical)

DESIRED:

  1. Minimum three years experience in an office environment
  2. Experience with and understanding of non-profits
  3. Good interpersonal skills
